Privacy Policy
Effective date and last updated: November 3, 2026
This policy explains how Ecomssentials collects, uses, and handles personal information through this website, business inquiries, and strategy call scheduling.
1. Who we are and how to contact us
Ecomssentials is a business systems and AI implementation business based in Florida, United States. For privacy questions or requests, email contact@ecomssentials.com with the subject “Privacy Request.”
2. Information we collect
When you submit an inquiry, we collect your name, email address, company name, optional company website, selected service, whether your business is operating, project description, preferred timing, scope, optional estimated investment, and your agreement to be contacted. We also keep the submission date, a submission identifier, qualification status and reason, and related message delivery records.
If you contact us by email or book a call, we receive the information you provide in that correspondence or booking, including appointment details and responses to scheduling questions.
Our hosting and security providers may process technical information such as IP addresses, browser information, request logs, and authentication information to deliver and protect the website. When sign-in is required, our hosting platform handles authentication. The inquiry review area is restricted to authorized access.
Please provide only information relevant to your business inquiry. Do not submit passwords, payment card details, government identifiers, health records, or confidential information about other people through this form.
3. How we use information
- Respond to inquiries and understand your business needs.
- Assess whether our services may fit your project and identify the appropriate next step.
- Send inquiry acknowledgments, requests for clarification, scheduling invitations, and relevant follow-up.
- Coordinate strategy calls and business discussions.
- Maintain inquiry and communication records, prevent duplicate submissions, and protect against misuse.
- Meet applicable legal obligations and resolve disputes.
Submitting an inquiry does not subscribe you to a general marketing newsletter. You can ask us to stop inquiry follow-up at any time.
4. Automated inquiry qualification
We use rules to help route inquiries based on the information you submit, including the selected service, business status, completeness of the project description, website, timing, scope, and optional investment range. These rules can queue an invitation, flag an inquiry for personal review, or request more information.
An unspecified or uncertain budget can lead to personal review rather than an automatic invitation. This routing is not a final determination of whether we will work with you. You may request a human review by contacting us. The current qualification process uses programmed rules; the form does not send your submission to an external generative AI model for qualification.
5. How information is shared
We use service providers to operate the website, store inquiry records, deliver business email, and coordinate appointments. These include our Sites hosting environment and its infrastructure providers, such as OpenAI and Cloudflare; email providers used for our correspondence and, when enabled, Resend for automated email delivery; and Calendly when you use a scheduling link. A connected calendar or meeting provider may also process appointment information.
We do not sell inquiry information or share it for cross-context behavioral advertising. Platform logos on the website do not mean those companies receive your form submission. We do not automatically forward inquiries to implementation partners. If partner involvement is needed for a project, we will discuss the relevant sharing with you.
We may disclose information when required by law, to protect legal rights or security, or in connection with a business transaction such as a merger or acquisition, subject to applicable protections.
External services have their own privacy notices. See Calendly’s Privacy Notice and the notices provided by the hosting, email, calendar, or meeting service you use.
6. Cookies and tracking
The website does not currently include advertising pixels or third-party marketing analytics installed by Ecomssentials. Hosting, authentication, and security services may use cookies or similar technologies needed for their functions. Calendly and other external websites may use their own cookies when you visit them. You can manage cookies through your browser; blocking necessary cookies may affect sign-in or scheduling.
7. Retention and security
We retain inquiry and correspondence records while needed to respond to your request, manage an ongoing business discussion or relationship, protect against misuse, or satisfy legal and recordkeeping requirements. Retention depends on the purpose of the record and the status of the relationship. Contact us to request deletion of information that is no longer needed; we may retain records where there is a legal or other legitimate need to do so.
We use access restrictions and service-provider security features to protect information. No website, storage service, or email transmission can be guaranteed completely secure.
8. Your choices and requests
You can ask us to access, correct, or delete your inquiry information, stop follow-up, or personally review an inquiry routed by our rules. Depending on your location and applicable law, you may have additional rights, including objection to or restriction of processing, portability, withdrawal of consent, or a complaint to a relevant privacy authority.
Email contact@ecomssentials.com from the address used in your inquiry and describe your request. We may need to verify your identity before acting. We will consider requests under applicable law, explain any limits, and respond within the time required by that law. Withdrawing permission for follow-up does not affect prior lawful handling or records we need to keep for other valid reasons.
9. International visitors
Ecomssentials operates from the United States. Our service providers may process information in the United States and other countries, where privacy laws may differ from those in your location. Where applicable law requires safeguards for international transfers, those requirements apply to the relevant processing.
10. Children
This website is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has submitted information, contact us so we can address it.
11. Scope and changes
This policy covers the website and initial business inquiries. A client engagement involving company systems, confidential documents, or customer data may require a separate agreement describing the scope, responsibilities, and handling of that data.
We may update this policy as our services and practices change. The date above identifies the latest update. Where required, we will provide additional notice of material changes.
